Most chargeback advice begins after the bank has already removed the disputed amount. By then, the strongest evidence may be gone: the product page has changed, carrier detail has expired, support messages are spread across channels, and no one saved the policy shown at checkout.
A stronger system starts before fulfillment. It screens risky orders, makes the billing and delivery promise recognizable, preserves the order's evidence as events happen, resolves service failures quickly, and answers each dispute with only the proof relevant to its reason.

Understand what arrived before responding
A payment inquiry and a chargeback are not always the same event. Shopify explains that an inquiry does not immediately remove the disputed amount or fee, while a chargeback generally removes the amount and applies a fee. Some disputes may also be handled through network-resolution programs before a traditional evidence window.
Open the case and record the reason, amount, order, deadline, status, evidence requirements, and whether money has already been debited. Do not assume the customer used the same wording as the network reason. 'I never got it' may arrive as product not received, while 'I do not recognize this charge' may be a fraud or unrecognized transaction claim.
The issuing bank or network decides the outcome, not Shopify. Shopify's chargeback overview says the platform is not involved in the decision and is not liable for chargebacks. Treat any win prediction as an estimate, never a guarantee.

Prevent disputes across the entire order journey
Fraud screening prevents only part of the problem. Product-not-received disputes often begin with weak shipping promises or missing tracking. Not-as-described disputes can begin with exaggerated creative. Unrecognized charges can begin with a billing descriptor the customer cannot connect to the storefront. Cancellation disputes can begin when the store makes cancellation difficult.
Build prevention in layers. Before purchase, show accurate product evidence, delivery ranges, recurring terms, return rules, and contact information. At payment, use a recognizable business identity and the authentication available through the provider. Before fulfillment, review risk. After purchase, send a complete confirmation, meaningful tracking, proactive delay updates, and a reachable support path.
Shopify's chargeback monitoring guidance recommends reviewing dispute patterns by reason and improving suspicious-order review, tracking, delay communication, policies, billing-statement text, support speed, and evidence quality.

Review high-risk orders before handing value to a carrier
A fraud-risk label is a reason to investigate, not proof that a person committed fraud. Review the specific indicators, order value, item resale risk, velocity, billing and shipping information, IP context, prior customer history, and authentication result. Multiple small inconsistencies can matter more than one explainable difference.
Shopify's fraud-prevention documentation describes fraud analysis, Shopify Protect for eligible US Shop Pay orders, Shopify Flow, dynamic 3D Secure, card-testing protection, proxy detection, and payment-capture controls. Availability depends on payment provider, plan, location, and order eligibility.
For high-value or suspicious orders, pause fulfillment while the review is active. Use a consistent verification process that does not request sensitive card data. Confirm order facts through contact details already associated with the order, document the result, then fulfill, cancel, or refund. If you cancel, stop the supplier order too.

Match evidence to the dispute reason
A large evidence packet is not automatically a strong one. The reviewer needs a short factual explanation and documents that prove or disprove the specific claim. Stripe's evidence best practices explicitly warns that a return policy is irrelevant to a claim that the product was never received.
Start with a one-paragraph chronology: who bought what, when payment occurred, what the store promised, what happened, and what the attached evidence proves. Label files clearly and ensure screenshots show the necessary name, address, date, amount, tracking, or policy detail. Do not crop away the context that connects evidence to the order.

Submit what proves the contested fact. More unrelated pages can make the case harder to review.
Build a reviewer-friendly evidence packet
Work from the evidence form in the Shopify admin because fields and deadlines vary by case. Gather files in a temporary case folder named with the order and dispute ID. Preserve originals and create legible exports for submission.
The summary should be neutral. Avoid accusing the cardholder, criticizing the bank, or describing unrelated business hardship. State the claim and why the attached evidence addresses it. If the store made an error, consider resolving it rather than submitting an argument the records do not support.
Shopify's chargeback response guidance recommends evidence such as return tracking when a return is involved. Stripe's reason-code documentation provides category-specific examples, including shipment and delivery proof for non-receipt and archived marketing material for not-as-described claims.

A delivered scan can still leave uncertainty. The parcel may be at a neighbor, mailroom, safe place, pickup point, or wrong address. Before treating the customer as dishonest, verify the complete address, carrier event, delivery photo, geolocation where available, household check, and carrier investigation path.
For expensive or high-resale goods, use signature or stronger delivery confirmation where appropriate. Match the delivery method to order risk and margin before checkout. Paying for stronger proof after a dispute is impossible.
If the carrier confirms loss or misdelivery, resolve the customer claim and pursue the carrier or supplier recovery separately. A pending carrier claim should not become an indefinite customer waiting period when the store's delivery obligation has failed.

Tracking protects the decision only when it records meaningful carrier custody and delivery to the order's full destination.
Prove refunds, cancellations, and return handling
A promise to refund is not proof that a credit was processed. Retain the refund transaction, processor or Shopify record, amount, method, date, and customer confirmation. If the customer returned an item, retain authorization, tracking, receipt, inspection, deductions, and the final settlement.
Cancellation disputes need a precise timeline. Show when the customer requested cancellation, whether fulfillment had begun, what the published cutoff was, how the store responded, and whether the order was stopped or refunded. If a supplier shipped after the store confirmed cancellation, the internal failure should be resolved rather than hidden behind policy language.

Turn dispute reasons into prevention work
Winning a dispute does not prove the customer experience was good. Losing one does not always prove the store acted dishonestly. Review disputes as a cohort and separate fraud, delivery, product, policy, support, and evidence failures.
Track chargebacks per order and transaction, disputed value, fees, win and loss outcomes, reason, product, supplier, carrier, destination, campaign, and first customer contact. Use both count and value. A small number of high-ticket fraud cases can create more cash risk than many low-value service disputes.
Escalate sudden changes. A rise in not-received claims can reveal a carrier or supplier lane failure. Not-as-described claims after a creative launch can reveal message mismatch. Unrecognized charges can reveal descriptor or subscription communication problems. Fix the upstream cause before scaling more traffic.
